Policies and Procedures

  1. Calgary Tennis is a trade name of Spierco Enterprises Ltd.
  2. Email is by far the best and fastest way to reach us. It is also how we send you confirmation and reminders about all of our programs. Our email address is CalgaryTennis@shaw.ca. *Note: Please make sure we have all the relevant cell phone numbers to “text” message you about any lesson cancellations due to inclement weather or otherwise. If you don’t receive “text” messages, please let us know that so we can make a note to call you instead of sending a “text” message.
  3. Please note that due to the volume of registrations we receive, we are unable to follow up with those that submit incomplete registration forms.
  4. Every adult participant must complete a registration form and return it with payment to the location stated on the registration form.
  5. Registrations will only be processed when payment and waiver forms have been received. First-come, first-served. Postdated cheques will not be accepted for registration.
  6. Gift certificates and coupons must be included with your registration and can only be used one at a time unless otherwise stated.
  7. All Email Money Transfers should be emailed to CalgaryTennis@shaw.ca. The sender of an Email Money Transfer (You), has to create a security question (that requires a one-word answer) that the recipient (Calgary Tennis) has to be able to answer in order to accept the transfer. Please make sure that you ask a question where we can find the answer on your registration form (for instance: your postal code, or the last 4 digits of one of your phone numbers). If you have questions about this method of payment, please contact us.
  8. All cheques should be made payable to: Calgary Tennis
  9. If Calgary Tennis is unable to schedule a class for you, they will simply void your cheque(s) and destroy them. Please note that Calgary Tennis will not return cheques.
  10. Receipts can be provided upon request, and are in email format only. If you request a receipt, it will only be emailed after your lessons have been completed.
  11. There will be a $30.00 administration fee for each cheque that is returned by the bank N.S.F. or otherwise.
  12. Some community associations charge community fees or guest fees. These fees are in addition to Calgary Tennis’ listed prices and are determined solely by the community association.
  13. Every adult participant must complete their own waiver form.
  14. Families need only complete one waiver form but each participating family member’s name must appear on the form as well as all participating adults signatures.
  15. Please note that due to the volume of registrations we receive, we can not follow up with people that submit incomplete registration forms.
  16. Cancellations may be made two weeks (14 days) or more prior to the first lesson without penalty – 100% refund. One week (7 days) or more for a 50% refund. Less than 7 days – no money will be refunded. Please note that there will be no exceptions to this policy regardless of the situation. All refunds are subject to a $2.00 administration fee.
  17. Once lessons have been scheduled, Calgary Tennis is not responsible for any that you miss, cancel, or would like to reschedule. No refunds. No exceptions. This applies to all types of lessons.
  18. In case of delays or cancellations, such as rain etc., lessons will be made up at a later date. Dates and times will be determined by Calgary Tennis. Saturdays and/or Sundays are usually the designated make-up days. It is the responsibility of every participant to be available for make-ups. Calgary Tennis is not responsible if you are unable to, or choose not to attend make-up classes. No refunds. No exceptions.
  19. If you are unsure as to whether there will be lessons because of bad weather use the following instructions: “Unless you are notified that lessons are cancelled, lessons are always on as scheduled.” Instructors will wait as long as they can before canceling classes. Remember, we are at the mercy of the weather, and weather forecasts can be inaccurate. *Note: Please make sure we have all the relevant cell phone numbers to “text” message you about any lesson cancellations due to inclement weather or otherwise. If you don’t receive “text” messages, please let us know that so we can make a note to call you instead of sending a “text” message.
  20. Times for all private, semi-private and create-your-own-group lessons are to be arranged with Calgary Tennis.  All times are to be arranged in advance. Once times have been arranged, Calgary Tennis is not responsible for any that you miss, cancel or attempt to reschedule. Please note that if you have time requests that conflict with dates/times that are being advertised for “Junior Group” and/or “Adult Group” lessons, the “Junior Group” and/or “Adult Group” lessons do take priority because these dates are being advertised in advance. Not all dates/times that are advertised in advance fill up, so then we are able to free up those times for other lesson requests.
  21. Private lessons are made up of 1 instructor and 1 student. Semi-private lessons are made up of 1 instructor and 2 students. Group lessons are made up of 1 instructor and 3 or more students.
  22. Junior Group Lessons require a minimum of 4 students, and we try to group according to age. Adult Group Lessons require a minimum of 3 students, and we try to group according to level of ability.
  23. These Policies and Procedures are subject to change without notice and additional Policies and Procedures may apply.
  24. Questions or concerns may be directed to Robin Spiers at calgarytennis@shaw.ca.
